Meanwhile, the number of ”mother countries“ has grown to five (Italy, France, Germany, GB and Spain)and Iveco is the second largest manufacturer of commercial vehicles and diesel engines in the world. Today, 162,000 vehicles and more than 460,000 engines are produced every year. Iveco is represented in 21 countries around the world and runs 18 production locations in 5 European countries. Moreover, they are present in more than 100 countries on all five continents and have a distribution network with 3,500 service bases. Since the foundation, multilingualism and ethnical variety is reality.
The goal
With the introduction of a DMS/archive-system, Iveco pursued several goals, which have been achieved in the already productive sections. Besides the wish to increase the employees' productivity by at least 20%, they simultaneously wanted to halve the process time in the guarantee section. The employees were supposed to have access to a comprehensive user platform and of course the retention of the legal requirements should be secured.

Decision pro d.velop
Many of the functionalities required by Iveco were already available in the licensed basic product of d.3. Thereby an unchallenged price could be obtained. Moreover, the modern 3-layer-architecture, the distinction between data base server and application server as well as the achievable scalability and safeguarding of future was very impressive. Further points, which were an davantage of d.velop, were: inter-premises workflow - powerful all-in-one-solution - low customizing - simple possibilities of integration - standards - low need of bandwidth - virtual creation of files and individual sights - high performance visualization - e-business and web-ability - integration competence of the provider.
The course of the project
The project group has created the duty-book themselves. During the period of selection, 3 different systems were thoroughly tested and offers of the companies were sought. After the decision for d.3 by d.velop, the address administration “PMS“ was tied in via an interface programmed by d.velop. The interface to the accounting system “Masterpiece“ will be replaced by SAP in 2004. The system integration took place in the context of four partial projects: basis (technical connection) - second-hand car centre (digital vehicle-files) - guarantee - automated, rule based workflow for guarantee requests - Office-automation (document management, fax integration, address integration). Six locations in four countries were connected and 14 different edp-applications were integrated. One of the success factors of this project was the early inclusion of the employees involved into all project stages, from the concept to the familiarization with the new software. Through this, a high acceptance has been achieved.
Status of the project
One year after the implementation one can say: The project is alive. Constant wishes for extension come from the already productive sections; further corporate divisions want to be included. Thus, the personnel management (an independent company), the production in Ulm, as well as the quality management and the purchasing use the system; it is also used for the filing of line-data concerning the stages a vehicle has passed. For the guarantee process one thing is clear: the goal have been reached! Reduction of “unproductive“ administration-, transport- and rest periods - location comprehensive business process optimization - shorter process times, higher throughput - concentration of the core business and higher productivity.
Overcome difficulties
Iveco assumed that the address-administration could also be covered by DMS, which, however could not agree with the goal of a document management system; thus, a further problem had to be integrated.
“Although this additional interface has not been planned in the beginning, the project-team of d.velop has proved a lot of flexibility, and the imbedding of this additional programme has been realised quickly. “, remembers Thomas Kretschmer.

Facts and figures
- Over 300 DMS User in D/A/CH
- about 300,000 receipts per year in the guarantee section
- total archive about 500,000 documents per year
- project runtime 10 months
Profit
example: guarantee process
initial situation: 1 employee 34% main activity - remains control and administrationtoday: 1 employee 60% main activityincrease of employee-productivity through consequent use of workflow-components
Success through...
- overcoming of organisational and human borders
- clear objective and fast success
- concentration on the possible, clear project size, fast implementation
- cooperation of the people involved instead of solo run of the EDP
- communication is everything
- goal- and result-oriented project management
- realisation of competitive advantages and added value for EVERYONE
- conscious use of positive self dynamics of the employees, because ”everyone wants to better - to win“
