Im Fokus seines Vortrags standen die <a href=\"https:\/\/www.d-velop.de\/software\/integrationen\">Schnittstellen<\/a> zu Connext Vivendi und Diamant. Wohin wollen wir? Was z\u00e4hlt und was nicht?<\/p>\n\n\n\n<ul data-beyondwords-marker=\"e5b7ca62-87a5-4a9c-ba58-419cbc0be752\" class=\"is-style-checkbox wp-block-list\">\n<li data-beyondwords-marker=\"2423dd5f-a414-4daa-8c9d-d8ce9a456699\">Im Fokus stand ein verbesserter Informationsfluss. Um das zu erreichen, wurde eine zentrale Ablage von Informationen ben\u00f6tigt. Die Mitarbeitenden sollten einfachen Zugriff auf die Ablage erhalten.<\/li>\n\n\n\n<li data-beyondwords-marker=\"1a937447-447c-46ba-9d5c-9a40f3b2a1c0\">Arbeitsabl\u00e4ufe sollten in digitale Prozesse transformiert werden. Daf\u00fcr wurden Workflows ben\u00f6tigt. Das Ziel: Arbeitserleichterung durch einfache Strukturen.<\/li>\n\n\n\n<li data-beyondwords-marker=\"a3c100e1-d696-41fe-881c-ee8ddfcfda74\">Weniger Papier: Tsch\u00fcss sagen zu Aktenschr\u00e4nken, Regalen und hohen Papierstapeln.<\/li>\n\n\n\n<li data-beyondwords-marker=\"9a2a8bad-41ca-43e5-80aa-cd61e28930af\">Eine Suchfunktion innerhalb der Dokumente sollte f\u00fcr ein schnelles Auffinden von ben\u00f6tigten Informationen sorgen. Dadurch sollte das aufwendige Suchen und Durchsuchen von Akten entfallen.<\/li>\n<\/ul>\n\n\n\n<p data-beyondwords-marker=\"bbffe4af-8a35-417f-91e3-7d0ad270371d\">Nachdem die Rahmenbedingungen klar abgesteckt sind, ging es um die Auswahl eines geeigneten Softwareherstellers, der die Anforderungen realisieren konnte. Michael Schwanzer h\u00f6rte sich im Unternehmen um, fragte im Bekanntenkreis nach und holte sich Ideen anderer Einrichtungen ein. Das Dokumentenmanagementsystem wurde schlie\u00dflich mit d.velop umgesetzt. Der ausschlaggebende Grund: die Schnittstellen zu Connext Vivendi und Diamant.<\/p>\n\n\n\n<figure data-beyondwords-marker=\"d4c0c1a6-ba71-44d4-8365-77185a2085c7\" class=\"wp-block-pullquote\"><blockquote><p><em>Bei uns war es so: Wir wollten Schnittstellen.<\/em><\/p><cite>Michael Schwanzer<\/cite><\/blockquote><\/figure>\n\n\n\n<h2 data-beyondwords-marker=\"348b534e-0435-49c4-b64b-79c22b79f0ea\" class=\"wp-block-heading\" id=\"h-in-6-jahren-ist-viel-passiert-der-projektverlauf\"><span class=\"ez-toc-section\" id=\"in-6-jahren-ist-viel-passiert-der-projektverlauf\"><\/span>In 6 Jahren ist viel passiert! Der Projektverlauf<span class=\"ez-toc-section-end\"><\/span><\/h2>\n\n\n\n<p data-beyondwords-marker=\"cd33d695-cd87-4a7f-8aa5-0b9cd6bab248\">Michael Schwanzer zeigte auf, was in den Jahren 2019 bis 2024 passiert ist.<\/p>\n\n\n\n<p data-beyondwords-marker=\"19fb24b4-4886-4d1d-b5c9-2a330b221adb\"><strong>2019:<\/strong> Die erste Idee f\u00fcr ein Dokumentenmanagementsystem entstand.<\/p>\n\n\n\n<p data-beyondwords-marker=\"f8d8b150-e531-48e3-88fa-2d4885783010\"><strong>2020:<\/strong> Drei verschiedene Dokumentenmanagementhersteller stellten ihre Softwarel\u00f6sungen vor.<\/p>\n\n\n\n<p data-beyondwords-marker=\"de04f47b-3c90-41ec-8bd7-89facd419168\"><strong>2021:<\/strong> Die Wahl fiel auf d.velop documents, da hier Schnittstellen zu den bestehenden Systemen Connext Vivendi und Diamant bestehen.<\/p>\n\n\n\n<p data-beyondwords-marker=\"bd62a2a9-5b86-4e28-a1e9-8c32b31ce1a9\"><strong>2022:<\/strong> J\u00e4hrlich gehen ca. 20.000 Rechnungen bei der GFDE ein. Die Standorte wurden mit einer vereinfachten und <a href=\"https:\/\/www.d-velop.de\/software\/digitale-rechnungsverarbeitung\">digitalen Eingangsrechnungsverarbeitung<\/a> ausgestattet. Zum Vergleich: Vor der Ausstattung ben\u00f6tigte die Bearbeitung einer einzigen Papierrechnung 34 manuelle Schritte. Seit der Digitalisierung kann der Aufwand auf 6 digitale Schritte reduziert werden.<\/p>\n\n\n\n<p data-beyondwords-marker=\"5cba6182-c3cb-49cb-a57c-8443b3b58524\"><strong>2023:<\/strong> Das n\u00e4chste Projekt stand an! Die Sorge: Durch digitalen und technischen Fortschritt k\u00f6nnten Arbeitspl\u00e4tze gef\u00e4hrdet sein. Michael Schwanzer erw\u00e4hnt dazu: \u201eDas System hat Geschwindigkeit, aber macht keine Arbeitspl\u00e4tze \u00fcberfl\u00fcssig.\u201c Vielmehr verschafft es Mitarbeitenden Erleichterung in deren Alltag.<\/p>\n\n\n\n<p data-beyondwords-marker=\"74ac7ef1-4d44-439f-b508-e604cc4b9bd6\">Besonders mit R\u00fcckblick auf die Pandemie f\u00e4llt heute die Erleichterung durch ein zentrales und vor allem digitales Dokumentenmanagementsystem auf. Michael Schwanzer erinnert sich zur\u00fcck: Die Mitarbeitenden der Finanzbuchhaltung mussten gro\u00dfe Mengen von Akten mit nach Hause ins Homeoffice transportieren. Heute ist das nicht mehr notwendig. Dahinter liegt d.velop documents mit der Aufgabe der revisionssicheren Archivierung und Einhaltung von gesetzlichen L\u00f6schfristen.<\/p>\n\n\n\n<p data-beyondwords-marker=\"594d9f9e-777c-409a-9a8b-4287d9debdbb\">Die <a href=\"https:\/\/www.d-velop.de\/blog\/compliance\/revisionssicherheit-was-bedeutet-das-und-wie-archiviere-ich-revisionssicher\/\">revisionssichere Archivierung<\/a> spielt besonders dann eine Schl\u00fcsselrolle, wenn es um <a href=\"https:\/\/www.d-velop.de\/blog\/compliance\/aufbewahrungsfristen\/\">Aufbewahrungsfristen<\/a> geht. Durch die Revisionssicherheit werden Dokumente \u00fcber 10 oder mehr Jahre aufbewahrt. Jedes Jahr widmet sich das IT-Team einem weiteren Meilenstein.
